HubSpot Sales Hub Implementation

Most sales teams don't have a people problem. They have a process and systems problem — and it's costing them contracts every month that aren't fixed. CRM, pipelines, lead scoring, automation, Sequences and reporting, configured to how you actually sell.

HubSpot Sales Hub Implementation is the configuration of HubSpot's sales platform around your actual sales process — CRM, pipelines, lead scoring, automation, Sequences, and reporting. iBusinessFormula is a HubSpot Platinum Solutions Partner based in Sydney, and one of a small number of Platinum-tier partners in Australia, delivering over 50 implementations since 2024.

01
Where implementations go wrong

A CRM nobody actually trusts.

The consultant configures HubSpot as it ships out of the box, trains the team on the features, and leaves. Six months later:
01

The CRM is a graveyard of half-filled contact records

02

Three overlapping pipelines nobody trusts

03

The sales team is quietly back on spreadsheets

04

Leadership still can't get one clean view of pipeline or forecast

The problem isn't HubSpot. It's that HubSpot was configured for a generic business, not yours. An implementation is only worth what it does to your revenue — not how many features got switched on. So we start with a process audit: how leads actually flow through your business today, where they leak, and what a working system looks like for your sales motion. HubSpot gets configured to that. Not the other way around.

Process-first, not config-first

A written diagnostic before we quote.

Most partners quote after a scoping call. We deliver a written diagnostic of your current sales process — sources, handoffs, follow-up gaps, reporting blind spots — and quote off that. That's why our quotes hold: we've seen the actual mess before we priced the clean-up.

Fixed scope, in writing

Every deliverable in the SOW. Changes re-quoted before work happens.

30 days after go-live

Implementations finish when the team is actually using it — not launch day.

What's included

Every implementation, end to end.

01

CRM & Data Structure

Contact, company, deal and custom properties designed for how you report.

02

Pipelines & Deal Stages

Mapped to how your team actually sells — not HubSpot's default seven stages.

03

Lead Scoring

So reps work the right leads first, and the wrong ones route to nurture.

04

Sales Automation

Follow-ups, task creation and stage progression that fire without a reminder.

05

Templates, Snippets & Sequences

Outreach at scale, without every rep writing from scratch.

06

Meetings, Calendar & Inbox

Scheduling links and full email integration so activity logs itself.

07

Quote Templates & Product Library

GST handled correctly, so pipeline value doesn't overstate revenue. Pro & Enterprise.

08

Reporting Dashboards

Separate views for reps, managers and leadership — not one dashboard for everyone.

09

Training & 30-Day Optimisation

Documentation plus 30 days of post-launch tuning, included in the price.

Enterprise builds add custom objects, territory rules, advanced permissioning, and integrations with your ERP, quoting or finance stack.
03
Timeline

5 to 8 weeks, seven stages.

Starter builds run 5 weeks. Professional builds with lead scoring, automation and Sequences run 5–6. Enterprise builds with custom objects and integrations run 6–10. What stretches a timeline: how clean your data is, how many people sign off on pipeline design, and how many integrations sit downstream of the CRM. We flag these in discovery so the quote and the timeline hold.

Case study · Todd Divine Homes

250 leads a month, no source of truth.

What Sales Hub actually does for the business
HubSpot Sales Hub is HubSpot's sales CRM and sales automation platform. It gives your sales team one system to manage contacts, track deals, automate follow-ups, forecast pipeline, and report on performance. On its own, the software doesn't change anything. What changes the business is the process the software enforces — here's what that looks like in practice.
A residential and commercial builder in Bayswater, Victoria came to us with 250 leads a month, 100 walk-ins and 200 inbound calls. Leads lived in spreadsheets, personal notebooks and social inboxes. The team wasn't lazy — the business had outgrown its systems.

Case study · Kolmeo

Not a lead problem — a qualification problem.

A property management SaaS provider serving clients with 300+ properties. Reps were spending time on agencies below the threshold Kolmeo wasn't trying to win, with no system to route the right leads to the right reps.
  • Automated lead disqualification. Smart forms route sub-threshold prospects into nurture rather than the sales queue.
  • Round-robin auto-assignment. Qualified leads land with a rep without anyone triaging inboxes.
  • Sales efficiency improved. Reps spend time on high-value agencies instead of leads that were never going to close.
  • Unified dashboards. Pipeline and conversion visible in one place, in real time.
05
Fit check

Who this is for — and who it isn't.

The right fit if:

  • You have inbound lead volume you're not confident you're following up consistently
  • Your team is losing hours per week to duplicate data entry across tools
  • Quotes, proposals or deposits are being lost to competitors on timing, not price
  • Leadership can't get one clean view of pipeline, forecast or campaign ROI
  • You've already tried a CRM and it stalled because nobody enforced the process

Probably not, if:

  • ×You have fewer than 3 salespeople and under ~20 deals a month — you may not yet need Professional
  • ×You want a CRM you can set and forget — no CRM works without ongoing ownership
  • ×You're not willing to change the sales process, only automate the existing one
We'll let you know during the discovery call if we don't think Sales Hub is the right investment. We've turned down projects for this reason before.

Australian context

Built for Australian realities, not US defaults

01

Spam Act 2003 Compliance

HubSpot's defaults are GDPR-oriented. We reconfigure consent capture, unsubscribe handling, and sender identification so email programs comply from day one — not after a complaint.

02

Xero and MYOB as source of truth

Most Australian businesses run one of these, not NetSuite or QuickBooks. We integrate at the deal-close event so deposits and invoices flow without double entry.

03

AU data residency

HubSpot's Australian data centre came online in 2024. For regulated industries — financial services, healthcare, government-adjacent — we set new portals up on AU hosting from the start.

04

Small teams wearing many hats

Most Australian SMBs don't have a full-time HubSpot admin. Fewer custom objects, more automation, documentation an ops manager can actually maintain.

Pricing

Fixed scope. Not hourly.

Two costs. HubSpot charges a per-seat licence fee, paid monthly, across Starter, Professional and Enterprise. Implementation is a one-off investment paid to your Solutions Partner.
QUOTED ON FIXED SCOPE
$5,000 – $15,000 + GST
Depending on which hubs are in scope and process complexity. No tier-by-tier bands — every quote reflects the specific scope agreed in discovery, issued within 5 business days of the scoping call.
If the scope changes mid-project, we raise it in writing before doing the work. No surprise invoices.

01

Written audit before quoting

A written diagnostic of your current sales process — sources, handoffs, follow-up gaps, reporting blind spots — and we quote off that.

02

Fixed scope with change control

Every deliverable in the SOW. It isn't a policy statement — it's in every contract we sign.

The case for Platinum

Platinum status is earned, not paid for.

HubSpot's tiers — Gold, Platinum, Diamond, Elite — are earned through implementation volume, client retention and outcomes over time. Three practical reasons it matters:
01

Dedicated partner support

Technical issues route through HubSpot's partner channel and a Channel Account Manager — not the general customer queue.

02

Certification depth across the team

Advanced Sales Hub certifications across multiple consultants — your build isn't dependent on one person being available.

03

Early roadmap visibility

We plan around feature releases rather than react to them.

FAQ

Questions, answered.

HubSpot's partner tiers (Gold, Platinum, Diamond, Elite) are earned, not paid for. Platinum requires sustained implementation volume, client retention above HubSpot's benchmark, and certifications across the team. Practically, it means access to HubSpot's dedicated partner support channel and a Channel Account Manager, plus visibility of Platinum-only training and beta features. Only a small number of Australian partners hold Platinum status or above.
Salesforce is more configurable and more expensive to run — both in licence cost and admin overhead. HubSpot is faster to implement, easier for sales teams to adopt, and comes with marketing and service platforms in the same ecosystem. For most Australian businesses under $50M revenue, HubSpot delivers better ROI. Above that, and with complex enterprise requirements, Salesforce is often the right call.
Yes. HubSpot integrates natively with Xero and MYOB via the App Marketplace. For custom ERP integrations, we build via HubSpot's API or middleware like Zapier or Make.
Yes. CRM migrations are handled inside the implementation. We map data, deduplicate, and import historical activity so nothing is lost.
You do. Full stop. You own the HubSpot subscription, the data, and the admin access. We hand over complete documentation, so you're never locked into working with us to keep the portal running.
HubSpot is designed to be adjusted as the business evolves. You can either manage changes in-house using the documentation and training we provide, or move on to our HubSpot Ongoing Support retainer for changes handled by our team.
Starter suits teams under 5 reps with a simple linear sales process. Professional is the right fit for most Australian SMBs — it unlocks lead scoring, automation, and Sequences. Enterprise is for teams with custom objects, complex territory rules, or advanced permissioning. We'll recommend the right tier in the discovery call.
+
Yes. Sales Hub Starter is designed for small teams. Implementation is proportionally smaller — usually 2 to 3 weeks — and priced accordingly.
You can. HubSpot is designed to be self-implementable, and plenty of freelancers will configure a portal for a fraction of a Solutions Partner's price. The honest trade-off: cheaper upfront, but three risks show up later. First, without a process audit the CRM gets configured around HubSpot's defaults rather than your sales process — the single biggest reason implementations fail to get adopted six months in. Second, a freelancer is one person; if they're unavailable when something breaks, you have no fallback. Third, a Solutions Partner carries accountability a freelancer generally doesn't: a written SOW, a fixed-scope contract, and a business that still exists in twelve months. If your process is simple and your team is small, self-implementation can be the right call — and we'll tell you that in a discovery call if it's true.
