HUBSPOT SERVICE HUB done properly.

Most support teams are not slow because people are not trying. They are slow because tickets, email, chat and phone all live in different places, and nobody has a single view of the customer.

01
Where implementations go wrong

Switched on as an inbox.

Someone connects one email address and calls it live. No SLA policy, no knowledge base, no customer portal, no routing rules. Six months later:
01

The team is still working out of a shared mailbox

02

Tickets fall through the gaps between channels

03

Nobody set up reporting, so leadership cannot see where the backlog is building

04

Response and resolution targets exist in nobody's head but the manager's

The problem is not Service Hub. It is that Service Hub was switched on as an inbox rather than configured as a support process. An implementation is only worth what it does to your resolution times, your customer satisfaction and the load on your team — not how many features got turned on. We start by mapping how customer issues actually reach you today, and configure Service Hub to that.

Service Hub On the same CRM as sales
What Service Hub is

Four channels in,one customer record.

HubSpot Service Hub is a customer service platform that sits on the same CRM as your sales and marketing: shared inbox and conversations, ticket pipelines, SLAs, a knowledge base, a customer portal, live chat and support automation, and CSAT, NPS and CES surveys with reporting on all of it.

iBusinessFormula is a HubSpot Platinum Solutions Partner based in Sydney, and one of a small number of Platinum-tier partners in Australia. We implement Service Hub and migrate support teams off Zendesk or Freshdesk onto it, without losing ticket history or dropping a request mid-transition.

Real results

What it actually does for the business.

Case study · Kolmeo

Full ROI visibility across every marketing channel

Property management software · 300+ property accounts

Kolmeo relied on an external agency with no way to tell which channel or event produced the enterprise clients they wanted. Event leads lived on business cards.
  • Full ROI visibility across paid ads and events — measurable return replaced business-card tracking.
  • Content Hub removed the agency bottleneck — the internal team publishes directly.
  • Automated lead disqualification — smart forms route small accounts to nurture; reps focus on large ones.
  • QR-based event tracking — source-specific nurture replaced guesswork.

"Finally able to see marketing spend and pipeline in one place." — Kolmeo marketing team

Case study · Electrical Trades College

Turning enrolment follow-up into an automated pipeline

Multi-course education provider

ETC's follow-up ran on staff memory — no structured way to track who to call, when to email, or where each student sat in their journey.
  • Deal-stage triggers replaced memory-driven follow-up — nurture fires the moment a deal moves.
  • Separate pipelines per course — personalised messaging without overwriting records.
  • Lifecycle marketing — automated re-engagement brings past students back for more programmes.
  • Live dashboards replaced spreadsheets — leadership sees pipeline velocity in real time.

"Total visibility over the pipeline." — Moe Kabbara, Director, ETC

Fit check

Who this is for — and who it isn't.

The right fit if:

  • You're running marketing across three or more disconnected tools
  • You can't answer "which marketing activity actually drives revenue" with confidence
  • Your sales team ignores or distrusts the marketing lead handoff
  • Your email deliverability is degrading and you don't know why
  • You've grown past the stage where one marketer holds everything in their head

Probably not, if:

  • ×You have no dedicated marketing resource, even part-time, and no plan to hire one
  • ×Your budget doesn't justify the Professional tier and you just need email sends
  • ×You want a cheaper Mailchimp replacement, not a marketing operating system
We'll tell you in the discovery call if we don't think Marketing Hub is the right investment. Sometimes the right answer is a smaller tool. We say so.
Australian context

Built for Australian realities, not US defaults

01

Spam Act 2003 Compliance

HubSpot's defaults are GDPR-oriented. We reconfigure consent capture, unsubscribe handling, and sender identification so email programs comply from day one — not after a complaint.

02

Australian Privacy Principles

Database structure, consent tracking, and retention rules matched to APP requirements — often missed in cheaper implementations.

03

AU Data Residency

HubSpot's Australian data centre came online in 2024. For regulated industries, we set new portals up on AU hosting from the start.

04

Small Marketing Teams

Most Australian marketing departments are one or two people. Fewer complex workflows, more templated campaigns, documentation a coordinator can own.

Pricing

Fixed scope. Not hourly.

Two costs. HubSpot charges by marketing contact tier, paid monthly, across Starter, Professional and Enterprise. Implementation is a one-off investment paid to your Solutions Partner.
QUOTED ON FIXED SCOPE
$5,000 – $15,000 + GST

Depending on which hubs are in scope and marketing operations complexity. No tier-by-tier bands — every quote reflects the specific scope agreed in discovery, issued within 5 business days of the scoping call.

If the scope changes mid-project, we raise it in writing before doing the work. No surprise invoices.

Starter
2–3 weeks

Small marketing team, one channel to configure, straightforward segmentation.

Professional · most common
5–7 weeks

Campaign attribution, ads integration and deliverability warm-up unlocked.

Enterprise
8–12 weeks

ABM tooling, custom behavioural events, business unit separation.

01

Written audit before quoting

A written diagnostic of your current marketing operations — channels, campaigns, data flow, attribution gaps, deliverability health — and we quote off that.

02

Fixed scope with change control

Every deliverable in the SOW. It isn't a policy statement — it's in every contract we sign.

03

30-day optimisation included

Workflow adjustments, deliverability monitoring, campaign refinement — at no extra cost.

PARTNER
Platinum-driven

Platinum status is earned, not paid for.

HubSpot's tiers — Gold, Platinum, Diamond, Elite — reflect implementation volume, client retention, and outcomes over time. Three practical reasons it matters:
01

Dedicated partner support

Broken workflow mid-send? We route it through HubSpot's partner support — not the general queue.

02

Early roadmap visibility

We see product changes before they ship — honest advice on when a beta feature is production-ready.

03

Team-wide certification depth

The whole team holds advanced certifications — no knowledge gap when someone's on leave.

FAQ

Questions, answered.

HubSpot's partner tiers (Gold, Platinum, Diamond, Elite) are earned, not paid for. Platinum requires sustained implementation volume, a client retention rate above 90%, and certifications across the team. Practically, it means access to HubSpot's dedicated partner support channel and a Channel Account Manager, plus visibility of Platinum-only training, beta features, and early roadmap updates. Only a small number of Australian partners hold Platinum status or above.
Marketing Hub connects natively to Google Ads, LinkedIn Ads, and Meta Ads via HubSpot's ad tools. Once connected, you can sync HubSpot lists as audiences, track ad spend by campaign, and attribute revenue back to specific ads at the deal level. iBusinessFormula sets up UTM governance and campaign tagging conventions during implementation so the attribution is meaningful, not just data noise.
Yes, but not by default. HubSpot's out-of-the-box settings are GDPR-oriented. We reconfigure consent capture forms, unsubscribe handling, sender identification, and data retention rules to comply with the Spam Act 2003 and the Australian Privacy Principles. If you're a regulated entity or handle sensitive customer data, this reconfiguration is required, not optional.
Yes. Migrations are handled inside the implementation. We map contact data, deduplicate, preserve engagement history where possible, and run a phased deliverability warm-up so your sender reputation transfers with you. Cold-over migrations, where you send from a fresh domain the day after go-live, tank deliverability. We don't do those.
Professional gives you marketing automation, campaign attribution, A/B testing, and lead scoring. It's the right tier for most Australian marketing teams. Enterprise adds account-based marketing (ABM) tooling, custom behavioural events, adaptive testing, multi-team permissioning, and higher sending limits.
Yes, using Business Units (Enterprise tier). Each brand gets its own domain, email templates, forms, and reporting, while sharing one contact database. If you're at Professional and don't need full brand separation, we can achieve most of the same outcome with list segmentation and content templates.
You do. Full stop. You own the HubSpot subscription, the data, and the admin access. We hand over complete documentation, so you're never locked into working with us to keep the portal running.
This is the number one risk in any Marketing Hub migration and the reason most cheap implementations damage sender reputation. We run a phased deliverability plan: domain authentication (SPF, DKIM, DMARC) configured before first send, gradual sending volume ramp over 2 to 3 weeks, and engagement monitoring at each stage.
You can, and for a simple email-and-forms setup, that's often the right call. Without a marketing operations audit, most self-implementations end up configuring HubSpot as a bigger email tool rather than a measurement system — which is why attribution gaps and deliverability problems surface six to twelve months in. An Implementation Partner carries a written SOW, a fixed-scope contract, and a business that still exists in twelve months if you need support.
