Ongoing
Support
Most HubSpot portals do not break. They quietly stop being used. Ongoing support is what stops a working system turning back into an expensive address book.
Certified HubSpot consultants, not a ticket queue.
We keep your portal running at its best.
New builds every quarter, not just fixes.
Issues resolved before they slow you down.

Switched on as an inbox.
The team is still working out of a shared mailbox
Tickets fall through the gaps between channels
Nobody set up reporting, so leadership cannot see where the backlog is building
Response and resolution targets exist in nobody's head but the manager's
Four channels, one queue, one record. Support finally sees the whole customer, not just the last email.
Four channels in, one customer record.
HubSpot Service Hub is a customer service platform that sits on the same CRM as your sales and marketing: shared inbox and conversations, ticket pipelines, SLAs, a knowledge base, a customer portal, live chat and support automation, and CSAT, NPS and CES surveys with reporting on all of it.
iBusinessFormula is a HubSpot Platinum Solutions Partner based in Sydney, and one of a small number of Platinum-tier partners in Australia. We implement Service Hub and migrate support teams off Zendesk or Freshdesk onto it, without losing ticket history or dropping a request mid-transition.
Every implementation, end to end.

HubSpot Service Hub overview
What it does for the business
HubSpot Service Hub is HubSpot's customer service platform. It gives your support team a single system to receive, route, track and resolve customer issues, publish self-serve help, survey satisfaction, and report on all of it, all on the same CRM record as the customer's sales and marketing history.
On its own, the software does not change anything. What changes the business is the process the software enforces.
Nine hours to under one.
Eatclub, an Australian dining and hospitality platform, was running support out of a shared mailbox and a chat widget that did not talk to each other. Customer and venue queries arrived across four channels with no single queue, no SLAs, and no way for leadership to see where the backlog was building.
Figures from the Eatclub Service Hub implementation.
Australian support teams, in different shapes.
Proving response times to stakeholders for the first time
Workforce services provider
Support requests were scattered across personal inboxes with no shared record and no way to prove response times to stakeholders.
- SLA compliance from unmeasured to 96% on-target -
Targets configured to real operating hours. - 20 hours a week recovered -
Agents stopped triaging inboxes by hand.

Service Hub, or Zendesk?
Zendesk, Freshdesk and Intercom are strong, mature help desks. If a standalone support tool is all you will ever need, any of them is a reasonable choice. Here is the honest case for the other side.
One CRM, not two systems stitched together
Every ticket sits on the same record as the deal that closed and the campaigns the customer saw. Support sees the full relationship; leadership sees service, sales and marketing in one place.
"We already have years of tickets in Zendesk"
That is a solved problem, not a reason to stay. We migrate your existing tickets, contacts and history into Service Hub as part of the implementation, so you keep the record and lose the silo.
Already on Sales or Marketing Hub?
The case is close to decided. Adding Service Hub is far less work than integrating a third-party help desk, and it removes the integration you would otherwise have to build and maintain.
Moving off Zendesk does not mean losing your history.
We migrate your tickets, contacts, companies and conversation history into Service Hub, map your old statuses and fields to your new pipelines, and keep the customer record intact. A migration runs inside the implementation, not as a separate scramble.
Audit
Ticket volume, custom fields, tags, macros and integrations in your current help desk.
Map
Old statuses, fields and tags mapped to new pipelines, properties and routing rules.
Migrate
Tickets, contacts, companies and conversation history moved across, deduplicated as we go.
Cut over
Both systems run in parallel briefly so nothing in flight is dropped, then we switch.
The right fit if:
- Support requests arrive across email, chat, phone and forms with no single queue
- You cannot reliably report response times, resolution times or backlog to leadership
- The same questions come in over and over, with no knowledge base deflecting them
- You are already on HubSpot for sales or marketing and want support on the same CRM
- You are on Zendesk, Freshdesk or Intercom and it is disconnected from your customer data
Probably not, if:
- You have a very small support load a shared mailbox genuinely handles, with no plans to grow it
- You want a tool you can switch on and forget - no support platform works without ownership of the process
- You are not willing to define SLAs or routing, only to digitise the current chaos
We will tell you during the discovery call if we do not think Service Hub is the right investment. We have turned down projects for this reason before.
Not sure Service Hub is the right move?
A 30-minute discovery call will tell you whether Service Hub fits your support operation, and whether a migration from your current tool is straightforward or not - before you spend anything.
What we have learned running support for Australian businesses
Business hours and SLAs in AEST/AEDT
SLA clocks configured to your actual operating hours and public holidays, so targets are not breached overnight when nobody is meant to be working.
Support tied to sales and finance
Where you run Xero or MYOB alongside Sales Hub, we connect them so agents see account and billing context without leaving the ticket.
Data residency
HubSpot's Australian data centre came online in 2024. For clients in regulated industries, we set new portals up on AU hosting from the start.
Small teams wearing many hats
Most Australian SMBs have no full-time support admin. More automation, a knowledge base that deflects repeats, and documentation an ops manager can maintain.
Fixed scope. Not hourly.
Two costs. HubSpot charges a per-seat licence fee, paid monthly, across Starter, Professional and Enterprise tiers. Implementation is a one-off investment paid to your Solutions Partner.
Depending on which hubs are in scope, whether a migration is involved, and process complexity. No tier-by-tier bands - every quote reflects the specific scope agreed in discovery.
Paid directly to HubSpot across Starter, Professional or Enterprise. Current licence pricing sits on HubSpot's own site - we will recommend the right tier in discovery rather than selling you the top one by default.
Every quote is issued within 5 business days of the scoping call. If scope changes mid-project, we raise it in writing before doing the work. No surprise invoices.
Process mapping before quoting
We document how issues arrive, route and resolve today, and quote off that. Our quotes hold because we have seen the actual mess before we priced the clean-up.
Fixed scope, in writing, with change control
Every deliverable is listed in the SOW. Changes are raised in writing and re-quoted before work happens. You will never receive an invoice for work you did not approve.
30-day post-launch optimisation
SLA adjustments, routing fixes, report refinement, adoption troubleshooting - at no extra cost. Support processes finish 30 days after go-live, not on launch day.
PARTNER
Platinum status is earned, not paid for.
HubSpot's tiers - Gold, Platinum, Diamond, Elite - are earned through implementation volume, client retention and outcomes over time. Platinum status means iBusinessFormula sits in the top tier of Australian HubSpot partners. Three practical reasons it matters:
Dedicated partner support
Technical issues route through HubSpot's partner support channel and a Channel Account Manager, not the general customer queue.
Certification depth across the team
Your implementation does not depend on one person being available.
Early roadmap visibility
We plan around HubSpot feature releases rather than reacting to them.
Questions, answered.
You do. Full stop. You own the HubSpot subscription, the data and the admin access. We hand over complete documentation, so you are never locked into working with us to keep the portal running.
